HOLLYBUSH RESIDENTS ASSOCIATION
CONSTITUTION
1 Name
The Association shall be called the Hollybush Residents Association.
2 Membership
The Association shall be open to all residents of Park Lane, Vine Court Road, Avenue Road, Hollybush Lane (from junction with Park Lane to number 29c),
Bayham Road, Serpentine Road, Hillside Road, Holmesdale Road, Knole Road, Quaker Close, Seal Hollow Road (from Serpentine Road to Park Lane), Hollybush Close, Hollybush Court, Lansdowne Road, Serpentine Court and The Paddocks.
3 Aims of the Association
(a) to preserve and improve the amenities of the area,
(b) to protect and advance the interests of its members within Sevenoaks.
4 Nature
The Association shall be non-sectarian and non-party political.
5 Subscription
The annual subscription, which will be a minimum of £3.00 per household, shall become due on 1st October each year, and payable within three months to maintain membership.
6 Committee
The Committee shall be elected at the Annual General Meeting and shall consist of ten members, of whom five shall come from different roads. Any members failing to attend three consecutive meetings, without good reason, shall automatically cease to be a member of the Committee. In the event of a member being unable to complete their period of office the Committee may appoint a substitute.
Officers may serve no longer than four years in the same post. A quorum shall consist of four members, of whom two must be Officers. Voting will be by simple majority of those present. The Chairman shall have a casting vote.
7 Officers
The Officers of the Association shall consist of Chairman, Secretary, Treasurer, and Membership Secretary, and shall be appointed from within the Committee.
8 Powers of the Committee
The committee shall have the power to act on any matter consistent with Rule No. 3 and to spend money on behalf of the Association. It shall have the power to appoint sub-committees for special purposes and to co-opt any person, whether or not a member of the Association, whose expertise may be of benefit.
9 Accounts
Audited accounts shall be presented at the Annual General Meeting. The Auditor need not be a member of the Association and shall be appointed by the Committee.
10 Meetings
The Annual General Meeting shall be held within three months of the Association’s financial year-end (end of September), and at least 21 days notice shall be given. Voting shall be by a simple majority of those present.
An Extraordinary General Meeting shall be called by the Committee within 21 days of a written request by 20 members.
No changes shall be made to these rules except at the Annual General Meeting or at an Extraordinary General Meeting.
